Point of sale
Search and scan, choose the customer, apply discounts and charge with any method.
What it is for
The Point of sale (POS) is where you sell: you search or scan the products, choose the customer and charge. The invoice comes out of here, the stock moves and the money goes into your cash register. From the same screen you save a quote or an order.
Before you start
- An open cash register (Your first day).
- The Invoice permission. Changing a line's price also needs Manage catalog.
- To charge by bank transfer, your accounts in Collections, Bank accounts.
The screen
On the left, the search box (which also takes the scanner), the categories and the products with their photo, price and stock. On the right, the customer, the ticket, the totals and the Charge button. At the top, who is selling and the open cash register.
Selling step by step
Add the products
Scan the barcode: the product goes on the ticket and the cursor stays in the search box for the next one. Without a scanner, type the name or the code in Search product, code or scan..., or tap the category and the product.
On each line you change the quantity with - and +, and give it a discount in % or as an amount. The x removes the line.
Choose the customer
The sale starts with Walk-in customer. To invoice someone, click Change (F4) and search by name, tax ID or phone, or click Create customer.... If the customer has a price list, the ticket reprices itself.
Discount the whole sale (optional)
Under the subtotal, the discount takes a percentage (%) or an amount ($) over the whole ticket. With Add note you write something that is printed on the invoice.
Charge
Click Charge (F9) and choose how you are paid. The methods are below. Click Confirm.
Print
Print prints the ticket on your cash register's printer; Print on sheet, on Letter or A4. View invoice opens the invoice; New sale clears the ticket.
Ways to charge
It comes selected, with the cursor in Received. Type what the customer gave you and you see the Change. Exact and the bill buttons fill in the amount in one tap. Enter confirms.
If the customer has Store credit (from a return), it appears as a payment method. Your own methods, such as Zelle or PayPal, are created in Collections, Payment methods.
Keyboard shortcuts
| Shortcut | What it does |
|---|---|
| F2 | Goes to the product search |
| F4 | Changes the customer |
| F6 | Saves the ticket as an order (needs a customer) |
| F8 | Saves the ticket as a quote |
| F9 | Opens the payment |
| ↑ ↓ | Selects a ticket line |
| Delete | Removes the selected line |
| Esc | Closes the open dialog |
Saving without charging
The buttons next to Charge save the ticket in other ways:
- Save order (F6): delivered later, with deposits.
- Save quote (F8): a priced proposal that moves nothing.
- Save draft: still here when you come back.
- Clear: empties the ticket.
You see them in Quotes and orders. The ticket also survives a page reload.
On a phone
On a phone, the products and the ticket are shown one above the other.
By country
There is no tax receipt. Prices are typed without tax and the ticket adds each sales tax by its name. A customer with a valid Exemption certificate buys tax-free. See United States.
Common mistakes
- "Not enough stock of X." The line turns red. Remove it, change the quantity or, if the count is wrong, turn on Allow selling without stock in Settings, Operations.
- "It exceeds the credit limit." The customer already owes close to their limit. Take a down payment with Split payment or raise the limit on their record.
- "The walk-in customer does not buy on credit." Choose or create the customer first.
- "Choose the account that received the transfer." A transfer always names the account; if you have none, create it in Bank accounts.
- "I cannot change the price." You need the Manage catalog permission.
