Reports
Group, filter and export to CSV; sales, purchases, inventory and taxes collected.
What it is for
Reports, in the General group of the menu, shows a period's sales by any dimension you want (day, product, category, seller, customer, payment method...), with their cost and profit, and exports them to Excel. From there you also reach the other reports, which live on their own screens: what you are owed, what you owe, inventory valuation, cash register closes, expenses and the financial statements.
Before you start
- The View reports permission. Each link under Other reports appears only if you have that screen's permission.
- Sales issued in the period: the report counts invoices, not unpaid tickets.
- For the cost and profit to be real, your products' cost kept up to date. It comes from your purchase receipts (Purchasing and expenses).
The screen
At the top, the Period (this month by default) and, if you have more than one branch, the Branch. Below, five figures for the period:
- Sales (net): what was sold without taxes, with how many invoices and their total.
- Cost of goods sold and Gross profit, with its percentage of net.
- Returns: the credit notes, and how many invoices were voided.
- Quotes: how many were made and what percentage was invoiced, how many are still open and how many expired.
Sales by any dimension
Choose the period
Click the Period and mark the range on the calendar. If you have branches, choose one in Branch or leave All branches.
Group
In Sales detail, open Group by and choose how you want to see the rows. The sentence under the title tells you what each row is.
Group by Each row is Day a day in the period Product a product or service sold, with the Quantity Category a catalog category Seller who made the sale Customer a customer Invoice or order an invoice, with its order if it has one: the profit of each job Payment method a payment method, with how many invoices were paid with it and the total Technician the work order's technician (only with work orders) Waiter or specialist who served (only with tables or a schedule) Branch a branch (only with more than one) Read the columns
Each row has Invoices, Net, Taxes, Total, Cost and Profit, with the profit as a percentage of net. A negative profit shows in red: you sold below cost. At the bottom, the period's Total.
Export
Export CSV downloads the table as you see it, with the chosen grouping, to open in Excel or Google Sheets.
Group by Product and sort by Profit in Excel to see what earns you the most, not only what sells the most.
Other reports
At the foot of the screen, Other reports takes you to the screens that already are reports:
| Report | What it shows |
|---|---|
| Accounts receivable | Aging by customer: who owes you and how much is overdue. See Accounts receivable and collections. |
| Accounts payable | Aging by supplier. See Purchasing and expenses. |
| Inventory valuation | Stock on hand, minimums and expirations. See Inventory. |
| Cash register closes | Shifts with their variance. See Cash registers. |
| Expenses by account | The range's expenses. |
| Returns | The credit notes. |
| Payroll | Gross, TSS, ISR and net by period (Dominican Republic only). |
| Financial statements | Trial balance, balance sheet, income statement. See Accounting. |
By country
Under the sales detail you find Taxes collected: each tax you created, with its Rate, the Taxable sales, what was Collected, what was Refunded and the period's Net due. Returns are subtracted on their own. Choose the period of your sales tax return (a month or a quarter), check the total and click Export CSV to keep it. See United States.
Common mistakes
- "No sales in this period." Change the period, or the branch if you filtered by one.
- "Profit equals net." Those products have no cost. Record it with a purchase receipt or on the product's page.
- "The CSV opens in a single column." The file follows the app's language: with the app in English it separates columns with commas, as Excel in English, Google Sheets and Numbers expect; in Spanish, with semicolons, for Excel in Spanish. If yours is set up the other way, switch the language in Your account before exporting, or use Data, Text to Columns with the file's separator.
- "I do not see Technician, Waiter or specialist or Branch in Group by." They appear only if your business has work orders, tables or a schedule, or more than one branch.
- "I do not see Reports in the menu." You are missing the View reports permission.
Next step
Print your invoices and receipts on the right paper: Printing.
