Sales tax with stacked taxes, exemptions, EIN, the Verifone terminal and documents in English.

What it is for

A company in the United States charges sales tax instead of ITBIS, is identified by its EIN and issues no tax receipts. This page gathers what changes in Pixel One: the taxes you create (one or several per product), tax-exempt customers, the report for your return, the card terminal and documents in English.

Before you start

  • A company created with Country United States (Create your company) and its EIN (nine digits).
  • The sales tax rates of your state, county and city. Pixel One does not ship rates by state: you create them, as your business charges them. If in doubt, ask your accountant.

Sales tax: one or several taxes

  1. Create your taxes

Your company starts with a sales tax at 0 %. In Inventory, Taxes, give it your combined rate or create one per level: the state's, the county's, the city's. Each one with its name and rate.

  2. Assign them to each product

In the Catalog, a product can carry several taxes at once: they add up on each line. A service with no tax (labor in many states, for example) simply carries none. The import template takes them separated by |.

  3. How they print

The invoice and the ticket print each tax by its name and rate, not one unnamed total.

Tax-exempt customers

A customer who buys for resale, or a nonprofit, keeps their Exemption certificate on their record, with the date it Expires. With a valid certificate, their sales are tax-free; once it expires, they pay tax again.

The report for your return

In Reports, Taxes collected shows each tax you created: the Taxable sales, the Tax collected, what was refunded and the Net tax for the period. The period's returns are subtracted on their own. Use it to file your sales tax return, and export it to CSV.

Charging with your Verifone terminal

Pixel One does not drive the terminal: you charge on it and copy from the slip the brand, the last 4 digits and the authorization code. So that each charge is tied to its terminal:

  1. Create one method per terminal

In Collections, Payment methods, click New method, choose the card type and type the terminal in Name (for example "Verifone VX520" and its serial number) and the Processor fee (%). If you have two terminals, create two methods.

  2. Charge

At the point of sale, choose the card method and copy the Card brand, the Last 4 digits and the Authorization code. The invoice prints, for example, "Visa ****4242 Auth A1B2C3". Deposits and installment payments keep the same details.

  3. Settle the batch

When the processor deposits, record the Card settlement in Banks: Pixel One suggests the terminal's fee over what is pending to settle.

Documents in English

In Settings, Branding:

  • Document language: invoices, quotes, orders, receipts and credit notes print in this language. A United States company starts in English.
  • Company language: the app's language for whoever did not choose another. Each person chooses their own in Your account: the owner can work in Spanish and the team in English.
United States only

The repair shop's estimate and repair order print the customer authorization text in the document's language. See Auto repair shop.

Common mistakes

  • "The tax comes out at 0." The starting sales tax is at 0 %: give it your rate in Taxes.
  • "I charged tax to an exempt customer." Check that their certificate has not expired. To fix a sale already made, use Correct price on the invoice.
  • "I do not see Payroll or Electronic invoicing." They do not exist for the United States.
  • "The EIN is not valid." It must have nine digits and a prefix the IRS issues.
