The appointment schedule with private clinical notes.

What it is for

A medical office books its visits with the same Schedule a salon uses: each doctor's hours, appointments with their services and the payment at the point of sale. What it adds is the clinical note: what the doctor writes about each visit (reason, diagnosis, instructions), private, visible only to whoever has the permission, and gathered in the patient's Clinical history.

This page covers what is particular to an office. The hours, how to book and how to charge are in Salon, barbershop, spa and car wash: they work the same way.

Which businesses it covers

These business types bring the Schedule with clinical notes:

Business typeWhat it starts with
Medical office / clinicCategories (Consultations, Procedures, Tests) and, on the patient, the Health insurance, Member ID, Blood type and Allergies fields. Since it only sells services, the menu hides Zones and Receipts
Dental officeCategories (Consultations, Cleanings, Treatments, Orthodontics) and the Health insurance and Allergies fields
Veterinary clinicCategories (Consultations, Vaccines, Surgery, Food, Medicines) and the Pet, Species and Breed fields

The Clinical laboratory does not use the schedule: it sells its tests at the point of sale.

Before you start

  • Your visits and procedures in the catalog (Services), with their price and their Duration (minutes).
  • Each doctor's hours in Hours (how they are set).
  • Your team as members, each with what they need (Invite your team):
    • Clinical notes only for whoever reads and writes the history: the doctors.
    • Book appointments for the front desk; the Schedule front desk template does not include clinical notes.

Your typical day

  1. The front desk opens the Schedule and sees the day's visits by doctor.
  2. A patient calls: the front desk books the visit with the doctor.
  3. They arrive: the front desk clicks Check in; the doctor calls them in and clicks Start.
  4. During the visit, the doctor opens the appointment and writes the Clinical note (private).
  5. On the way out, the front desk clicks Check out and charges the visit at the point of sale. The front desk does not see the note.

The clinical note

  1. Open the appointment

In the Schedule, tap the patient's appointment. Whoever has the Clinical notes permission sees the Clinical note (private) box under the services.

  2. Write the note

Write the reason for the visit, the diagnosis and the instructions, and click Save note. Only people with the clinical notes permission can see it. It never appears in reports.

The clinical history

On the patient's record, the Clinical history tab shows all their visits by date, each with its note. Whoever lacks the Clinical notes permission sees the same tab as Appointments: the dates and the services, without the notes.

The patient's fixed details (insurance, allergies, the pet) go in the custom fields of their record. Those are seen by anyone who can see the customer: what is private goes in the note.

Common mistakes

  • "I don't see the clinical note box." You lack the Clinical notes permission. Ask the owner to grant it in Members.
  • "The front desk sees the notes." Someone gave them the Clinical notes permission. Remove it from their permissions.
  • "I wrote the allergy in the note and the front desk can't see it." That is expected. What the whole team must know goes in the record's fields, such as Allergies.
  • "I can't book at that time." Check the doctor's hours and time off, as in Salon, barbershop, spa and car wash.
