By type of business
Salon, barbershop, spa and car wash
The schedule: hours, appointments by staff member and billing the appointment.
What it is for
The Schedule shares out your people's time: each staff member has their hours, each appointment takes its slot with its services' minutes, and when it is over it is charged at the point of sale in one click. This guide follows a salon's day: the hours, the appointments, the customer who arrives and the appointment paid.
This is how each appointment moves:
Which businesses it covers
These business types bring the Schedule into the menu:
| Business type | What it starts with |
|---|---|
| Beauty salon | Categories (Hair, Nails, Makeup, Treatments, Products) and the Birthday field on the customer |
| Barbershop | Categories (Haircuts, Beard, Products) |
| Spa | Categories (Massages, Facials, Packages, Products) |
| Car wash | Categories (Washes, Detailing, Products) and the License plate field on the customer |
In these businesses the catalog is called Services. Medical, dental and veterinary offices use the same schedule with private clinical notes: see Clinic, dental and veterinary.
Before you start
- Your services in the catalog, each with its price and its Duration (minutes): the duration sets when the appointment ends (without it, it counts as 30 minutes).
- Your staff as members of the company (Invite your team). The Schedule front desk template brings appointments, customers and the payment at the point of sale.
- To book, the Book appointments permission; just to look, View the schedule.
- An open cash register to charge (Your first day).
Your typical day
- You open the day's Schedule: one column per staff member, with their appointments.
- A customer calls: you tap a free slot and book their appointment with its services.
- They arrive: you open the appointment and click Check in; when it starts, Start.
- It is over: you click Check out and the appointment is charged at the point of sale, with a product if they take one.
- Tomorrow's appointments get their reminder by email.
1. Staff hours
Each staff member's week
In the schedule, click Hours. Choose the Staff member and tick the days they work: each day with one or two blocks of hours (More hours to leave lunch free). Click Save hours.
Time off
In Time off, type From, Until and the Reason (vacation, a doctor's appointment) and click Add time off. Appointments can't be booked outside their hours or during time off.
2. Book an appointment
Tap a free slot
The schedule runs from 7 AM to 9 PM, in 15-minute slots. Time outside the hours is shaded, and time off is striped. Tap a free slot in the staff member's column, or click New appointment.
Fill in the appointment
- Customer: search for them or create them.
- Services: search and tick each one. Their minutes and prices add up.
- With, the Day and the Time.
- Notes: what the customer asked for.
Click Book.
3. The day
Day shows a column for each staff member who works that day; Week shows one person's week. Move with Previous, Today and Next.
4. The appointment
Tap an appointment to open it: its services, its total and the buttons for the next step.
- Confirm: the customer confirmed they are coming.
- Check in: they are here. Start: they are being served.
- Reschedule: another day, time or staff member. It frees the old slot.
- No-show: frees the slot.
- Cancel: asks for the Reason for cancelling.
5. Charge the appointment
Click Check out
On the appointment, click Check out. The point of sale opens with its services at the prices it was booked with, and the Charging notice with the appointment.
Add what they take (optional)
If they buy a product, the shampoo they were recommended, add it to the same ticket.
Confirm
Charge it like any sale (Point of sale). The appointment becomes Paid and the invoice keeps who served. If the invoice is voided, the appointment goes back to In service.
In Reports, group sales by Waiter or specialist to see what each person billed.
Reminders
Pixel One emails a reminder, the day before, to each customer with an email who has an appointment tomorrow. It goes once; if you reschedule, another one goes. Remind tomorrow's sends them right now. The customer record has an Appointments tab with all of theirs.
Common mistakes
- "I can't book at that time." It is outside the staff member's hours, in their lunch break, during time off, in the past, or the appointment would end after their hours. Check Hours.
- "There's already an appointment in that slot." Two live appointments of the same staff member never overlap. A cancelled or no-show appointment frees its slot.
- "Nobody works this day." No staff member has hours on that weekday.
- "The appointment lasts 30 minutes and the service takes longer." A service without a Duration (minutes) counts as 30. Edit it in the catalog.
- "This business type doesn't use appointments." The schedule is only for the types above and the medical offices.
Next step
If you see patients, see Clinic, dental and veterinary. To charge, go over the point of sale.
