Getting started
Invite your team
Roles, permissions, templates and allowed branches for each person.
What it is for
Each person on your team signs in with their own account, never with yours. That way every sale, payment or void carries the name of who made it, and each person sees only what they need for their job.
Before you start
- You need the Manage members permission (the owner and administrators have it).
- Have each person's email. They do not need an account yet: if they have none, they get a link to create it.
The roles
| Role | What they can do |
|---|---|
| Owner | Full control. There is only one and it does not change. |
| Administrator | Everything except transferring the company. Only the owner names administrators. |
| Employee | Only the permissions you tick. |
For an employee, templates tick a position's permissions at once:
| Template | For whom |
|---|---|
| Cashier | The point of sale, its cash register, quotes, orders and their invoices. |
| Salesperson | Cashier, plus creating and editing customers and viewing stock. |
| Store manager | Salesperson, plus returns and voids, changing prices, adjusting stock, editing the catalog and viewing reports. |
| Warehouse | Stock, adjustments and purchase receipts. |
| Purchasing | Suppliers, receipts, accounts payable and expenses. |
| Accounting | Books, reports and banks; views sales and purchases, records expenses and supplier payments. |
Depending on your type of business, Waiter, Kitchen, Schedule front desk or Hotel front desk appear too.
The steps
Open Members
In the Company group, open Members. At first it is only you, as Owner. Click Invite.
Type who they are and their role
In How do you identify them? choose By email and type their Email (or By ID if they gave you their user ID). In the role, choose Employee or Administrator.
Choose a template and adjust
In Template choose the position, for example Cashier: its permissions are ticked for you. You can tick or untick boxes afterwards; the template then reads Custom. Click Send invitation.
The template ticks the position's permissions at once. NoteYou can only grant permissions you have. The rest stay unticked and the dialog tells you which.
The person accepts
If they already have an account, they see the invitation when they sign in, in Pending invitations. If not, they get an email with a link to create one (valid for 7 days) and go straight into your company. Meanwhile you see them in Email invitations.
Adjust their permissions and branches any time
Each row's menu has Edit role and permissions and Remove from company.
When editing you can change the role, the permissions, Block access (they keep their membership but cannot enter) and the Allowed branches: with none ticked, they work in all of them; ticked, they only open those branches' cash registers.
Common mistakes
- "I cannot make someone an administrator." Only the owner names administrators.
- "My cashier cannot do returns." Returns and voids need Void invoices, which Store manager has and Cashier does not.
- "The invitation did not arrive." Check the email you typed and their spam folder. You can cancel it in Email invitations and send it again.
- "The Invite button is disabled." You reached your plan's user limit (10 on the Profesional plan), which counts pending invitations too. Cancel an invitation or remove someone who no longer works with you.
- "I removed someone by mistake." Their Pixel One account still exists: invite them again.
Next step
Load your data: products, customers and suppliers from a spreadsheet.
